A conference in Ras Al Khaimah or an incentive stay in Ajman has a transport problem that a Dubai event does not: delegates arrive from airports an hour or more away, and the venue is the only thing nearby. This guide is about planning that flow.

Companies hold conferences, product launches, annual meetings and incentive stays in the northern emirates for good reasons: a resort with space, a venue away from the city, a site visit that has to happen on site. The trade-off is distance. Dubai’s airports and hotels sit about an hour from Sharjah’s venues and one to one and a half hours from Ras Al Khaimah, and nobody wants a hundred delegates to find their own taxis for that.
So the shuttle is not an add-on here. It is the event’s spine. This guide covers the questions we get from planners and company admins when the venue is north of Dubai, and we have kept it separate from our general page on event shuttles, which deals with hotel loops inside the city.

Get a quoteEvery plan starts with one decision: where do delegates sleep? There are three common answers, and each one changes the transport.
Our honest advice for events over a single day: move the hotel, not the delegates. Two hours of coach a day for three days costs more than the room rate difference, and tired delegates do not make good audiences. If the room block has to stay in Dubai, plan a firm pick-up time with a margin, and tell delegates that the coach leaves on time.
Delegates land at Dubai International, Dubai World Central or Sharjah International. Sharjah’s airport is the closest to the northern emirates: a group arriving there can be at an Ajman or Sharjah hotel in about 30 minutes, and in Ras Al Khaimah in roughly an hour. Our Sharjah airport transfer page covers the airport side.
The practical rule is to match vehicle to flight, not to the whole delegation. Ten people on one flight take a van. Sixty people on three flights take one coach per flight if the arrivals are within an hour of each other, and a smaller vehicle if the flights are spread across the day. Send us the flight list early, and we will plan around landing times rather than guess.
A loop is a simple piece of arithmetic, and getting it right early saves an argument on the morning. Take the time for one round trip: the drive each way, plus about 10 minutes of loading and unloading. Then decide how often you want a vehicle to leave. A vehicle count falls out of those two numbers.
Example: 140 delegates, a hotel 15 minutes from the venue, and a 50-seater coach. One round trip is 15 minutes each way plus 10 minutes of loading, so 40 minutes. To move 140 people in the 45 minutes before the opening session you need three coach loads. Two coaches, running about 20 minutes apart, will do it, with a smaller vehicle held back for latecomers.
Example: 60 delegates at a hotel 30 minutes from the venue, one coach. A round trip is 70 minutes. One 50-seater cannot take everyone in one go, so either a 35-seater joins it, or the first 50 leave early and the rest take a second vehicle ten minutes later.
Never plan to a full vehicle. Delegates carry laptops and sample cases, and some arrive late, so plan for about 85 per cent of seats.
| Need | Vehicle | Starting price |
|---|---|---|
| Speakers, a CEO, a small VIP group | Executive car or Sprinter | From AED 1,000 or 950 per day |
| Hotel loops with 20 to 30 delegates | 30-seater | From AED 550 per day |
| Delegations with laptops and cases | 35-seater coach | From AED 600 per day |
| Main loops and long transfers | 50-seater coach | From AED 650 per day |
Starting prices cover a full day of up to 10 hours with driver and fuel. Corporate quotes for the north are built from your real route, so the written figure can sit above these. The bus size guide explains how to match a coach to a delegation with luggage.
Resorts and conference hotels in Ras Al Khaimah, Ajman and Sharjah usually have a coach drop-off area, but they set their own rules for where a vehicle waits, how long it can stay and whether it may enter at all during busy times. Some will want a vehicle list in advance. We ask for the venue contact, confirm the arrangements before the day, and tell you where our drivers will wait.
The same goes for site visits. A factory, a port or a free zone will have gate rules, and often a list of names for the gate. Collect that list early. Our drivers can only go as far as the gate allows, and the delegates walk the rest.
Corporate events go wrong in small ways. A name missing from a list, a coach that left from the wrong hotel entrance, a driver who was never told that the speaker comes out ten minutes late. A one-page run sheet fixes most of it. For each leg we ask for:
Put delegate names on a manifest if the event is formal, and brief a team member to count heads onto each vehicle. Counting takes two minutes at the door and saves twenty on the road.
Send the dates, venue, headcount, flight list and hotel names through the booking form and we will return a written quote with the loops, the vehicles and the hours. Waiting time, a late-night return and extra tolls are listed separately. For larger programmes, see the notes on bus rental in Ras Al Khaimah and bus rental in Ajman. Book two to four weeks ahead between October and April.
Match the vehicle to the flight list and the hotel, not just the headcount.

Quick answers for this trip.
Work out the round trip, then the opening-session deadline. A 50-seater on a 15-minute leg does a loop in about 40 minutes, so two or three coaches cover 100 people in under an hour. Tell us the flight and hotel list and we size it.
Put the longer, quieter programme where people stay. A single evening trip north is easy to coach. A daily commute of two to three hours is not, and delegates arrive tired.
Often yes, but the resort or venue sets the rules for where vehicles wait. We confirm with the venue before the day and put any waiting hours on the written quote.
Our starting price is AED 650 per day for a 50-seater coach, AED 600 for a 35-seater and AED 550 for a 30-seater, with driver and fuel for up to 10 hours. The final quote depends on your route, hours and date.
Yes. An executive car or V-Class can run on the same timetable as the coaches, from AED 1,000 and AED 900 per day.
Yes. We need the gate rules and a list of names if the site asks for one, and we plan the vehicle size around the gate.
Two to four weeks between October and April for several vehicles, and a week for a single van. Send the flight list as soon as you have it.
