Hotel loops for delegates, exhibitor crews and visiting groups — sized to each hotel, timed to the sessions and adjusted when the day runs over.

Expo City Dubai sits on the southern edge of the city, between Jebel Ali and Dubai South — a long way from most hotel districts. Delegates staying in Downtown or Business Bay face a drive of around forty minutes outside peak hours, and much longer when a large event coincides with the morning rush. The Dubai Metro reaches the site, but a conference delegate in a suit, an exhibitor with sample cases or a visiting school group usually needs a direct shuttle.
We run Expo City Dubai shuttle buses for conferences and exhibitions at the Dubai Exhibition Centre and venues across the site, for corporate delegations visiting the district, and for companies whose staff work there every day.
We look at where delegates are actually staying — Dubai Marina, JBR, Downtown, Al Barsha, Dubai South — and size each loop to that hotel’s numbers. One big coach visiting four hotels wastes everyone’s morning; two or three smaller direct runs usually arrive sooner and fuller.
Loops are timed backwards from the first session. We set the last departure that still arrives before the opening keynote, add a buffer for traffic on Sheikh Zayed Road and the E311, and plan a second wave for delegates who only need to be there for the afternoon.
Event days at Expo City run on traffic plans set by the venue and the organiser: designated coach drop-off points, holding areas and timed access. We confirm those details in advance and brief every driver. A dispatcher keeps track of the loops, shifts vehicles when a session overruns, and tells the organiser’s transport desk when a hotel pick-up is running late.
Signage matters as much as the vehicle. We can display your event name in the windscreen so delegates find the right shuttle in a crowded hotel driveway, and we agree the first and last departure times so the transport desk can publish them in the event app or delegate pack. If an incident on the E311 or Sheikh Zayed Road delays a loop, the dispatcher re-routes the next departures and updates the desk, so delegates get an honest arrival time rather than silence.
Exhibitions start long before the doors open. Stand builders, exhibitor teams and event staff need early-morning runs during build-up and late-night returns during breakdown, often from accommodation in Al Quoz, Jebel Ali or Dubai Investments Park. We quote these alongside the delegate loops, so one operator covers the whole event and the timings line up with the venue’s access windows.
Not every Expo City trip is a conference. Government and corporate delegations visit the district, schools bring classes to its pavilions and public spaces, and companies take visiting partners on tours of the site. For these, a single vehicle on half-day hire — five hours with the driver waiting — is usually enough, and it can continue to a lunch or a second meeting elsewhere in Dubai.
For school groups, every seat has a seat belt and the trip lead receives the driver’s details the day before. See school and university trips.
Expo City is also a place of work. Companies with offices there book monthly staff shuttles from residential areas or metro stations, with a fixed timetable, a regular driver and a replacement vehicle if one is in for service. Typical routes run from Jebel Ali, Discovery Gardens, Al Furjan or Dubai Marina in the morning and back in the evening, with the timetable built around office hours rather than the event calendar.
Send the event dates, hotels, expected riders per hotel and session times through the booking form. The written quote includes vehicles, drivers, fuel and Salik tolls, with waiting time and extra hours listed before you confirm. Not sure how many vehicles you need? Our bus size guide explains how to work it out from the busiest wave, and our event shuttles page covers other venues in the city.

Allow around forty minutes outside peak hours, and more during the morning rush or when a large event is on. For first-session starts we schedule departures with a buffer, then adjust after the first morning if traffic proves lighter or heavier than expected.
It depends on the venue and the event. Large events publish a traffic plan with coach drop-off and holding areas; we confirm it with the organiser beforehand and brief every driver. For smaller visits, we agree the closest suitable drop-off point with you in advance.
Yes. For multi-day events we can run timed loops — for example every thirty minutes in the morning and evening peaks, with fewer vehicles in the middle of the day. The quote shows each vehicle’s hours, so you can see what every extra departure costs.
Yes. Early-morning and late-night runs for stand crews and exhibitor staff can be added to the delegate programme, from accommodation or hotels anywhere in Dubai. We time them to the venue’s build-up and breakdown access windows.
We can display your event name or a shuttle sign in the windscreen and side windows so delegates recognise the vehicle. For anything more permanent, such as vinyl branding, ask us early and we will confirm what is possible on the vehicles assigned to you.
Yes. Expo City is close to Dubai World Central (DWC), and we also collect from DXB. Delegates can be met in arrivals and taken directly to the venue or to their hotel, with luggage in the holds. See airport group transfers.
For multi-vehicle event programmes, two to four weeks ahead, and earlier if your dates coincide with other large events in the city. A single-vehicle group visit usually needs about a week’s notice, though we can sometimes help sooner outside the busiest weeks.
